Privacy notice for the Yorkshire and Humber Ukraine Advisory Panel

 

Migration Yorkshire works in partnership with Department for Levelling Up, Housing and Communities, local authorises and others in Yorkshire and Humber and hosts the Ukraine hub. We are coordinating the Yorkshire and Humber Ukraine Advisory Panel (UAP), made up of individuals from Ukraine, who have arrived in the region via the Ukraine scheme visa routes.

 

This notice explains how we will handle the personal data UAP members give us during their membership of the Panel.

Our purposes for collecting your personal data

  • So we can administer the panel
  • So we can process expense payments

The types of data we will collect

  • Your name
  • Your e-mail
  • Your contact telephone number
  • Your home address and payment details (only for expense payments)
  • The name of your Local Authority

How we will look after your data

We will store your personal data securely and handle it in line with UK data protection legislation. We won’t share this data with anyone outside Migration Yorkshire, or with other organisations, unless you agree for us to do so after you have joined the Panel.

How long we will keep your data

We will keep your data on record to use for administrative purposes while you are a member of UAP, after your involvement we’ll keep your data on record for 12 months, then delete.

If you claim expenses from Migration Yorkshire as part of your membership, we’ll record your name, your home address and your payment details and we’ll keep this data on record for general audit purposes for 6 years, because we have a legal obligation to do so under the Local Government Act 2003.

Our legal basis for processing your personal data

Our legal basis for processing your personal data is contract under Article 6b of the UK GDPR legislation. As a Panel member, you’ll be contributing to the work of the Panel and also receiving a benefit, so there’s an implied contract between you and us.
